Overview

Manage the Bancorp facilities, HVAC, and Building Security Systems. Collaborating with Landlords, vendors and clients on space design and layout, handling employee physical moves, managing equipment set-up including desks, chairs, and filing cabinets in accordance with department and fire code standards, and performing related activities to ensure buildings and work spaces meet the corporate needs.

Responsibilities

  1. Develop, update and maintain annual facilities strategic plan. Work with leadership to identify and document a multi-year strategy to effectively manage costs associated with facilities such as space planning, employee moves and strategic location decisions. Lead cross-divisional planning meetings.
  2. Manage facilities, mailroom and receptionist team. Interview, hire, set high performance standards and manage team performance in accordance with all applicable HR policies and procedures. Create a flexible and energizing work environment, fostering an environment that enables employee trust and engagement. Inspire confidence and motivate others to perform at their best. Develop and coach staff while effectively addressing performance issues.
  3. Manage vendor relationships for the design, maintenance, and upkeep of the US facilities. Develop close working relationships with outsourced construction, maintenance and trade personnel including architects and space planners, electricians, movers, cleaning services, and related vendor and leased building staff to ensure areas and work spaces are properly planned, constructed, and maintained for employees.
  4. Manage employee physical moves. Lead and coordinate all aspects of physical moves from working with internal clients on design specifications, obtaining approvals as needed on space plans, notifying client of time frames and work disruptions due to construction and related activities, ordering furniture and related office materials, e.g. cubes, etc.  
  5. Oversee and inspect physical locations and internal construction sites to ensure that they meet fire safety and building code specifications and standards. Ensure clients are satisfied with the space and handle issues and outstanding items as they arise. Ensure that spaces adhere to the company sizing standards for that location and division.
  6. Gather and prepare cost estimates for construction and move activities. Work with a variety of client and vendor teams to provide cost effective layouts and designs. Develop win-win solutions with clients as needed.
  7. Manage building and security access. Prepare employee badges and update internal security programs to provide the appropriate level of access to secured Bancorp areas and equipment, e.g. computers, laptops, and printers.
  8. Respond to escalated facilities, access and mailroom issues and service desk tickets. Coordinate and close tickets in a prompt manner, collaborating with others as needed to handle problems and concerns.
  9. Build internal relationships with senior leadership and employees throughout the company. Maintain open communication channels to set realistic client expectations on work space limits and related issues, provide updates on projects and timelines as needed, and follow up on project delays and issues promptly.
  10. Act as the primary liaison on facilities issues for all the Bancorp corporate building locations, including Delaware, New York, Pennsylvania, South Dakota, etc. May work with staff at each location, providing guidance and direction as needed.  
  11. Perform other related duties as assigned.

Qualifications

Education/Experience:

  • An undergraduate degree in a related field or an equivalent combination of training and experience.
  • A minimum of 10 years related experience

 

  

Other Qualifications:

  • Extensive working knowledge of maintenance and repairs in the areas of plumbing, carpentry, painting, plastering, electrical servicing for the organization’s facilities.
  • Excellent verbal, written, and interpersonal communication skills
  • A team player able to work effectively in a team fostered, multi-tasking environment
  • Proficient in Microsoft Office suite, e.g. Excel, PowerPoint, Word, Outlook
  • Position is required to travel to various company locations as needed
