Overview

Enter data and process vehicle and equipment leases into a variety of applications and systems in an accurate and timely manner.

Responsibilities

Essential Functions

  1. Processes vehicle and equipment lease bookings into automated systems, (e.g. LE and LW) in accordance with department data entry processes and procedures. Enter lease bookings into the system in a timely manner adhering to all departmental schedules and deadlines.
  2. Reviews and validates lease data input is in accordance with the company’s leasing and credit policy as it relates to sound leasing practices and applicable procedures and regulations.
  3. Notifies the lease Relationship Support Representative of any missing or incomplete items or information required before Lease commencement. Follow up as needed to obtain information so that lease can be entered and booking can be completed before lease commencement. 
  4. Develops close working relationships with other leasing staff to manage processing issues, obtain data, and resolve booking problems efficiently and effectively.
  5. Checks, reviews and verifies a variety of data entry fields while processing including but not limited to, zip codes for accuracy of tax rates, accuracy of term, dates, and fees of pending leases, and other related information.
  6. Validates and verifies that vendor funding information is consistent with asset invoice information.
  7. Reconciles entries for all commenced leases daily. Perform reconciliation each day by scheduled deadlines and ensure that any issues are resolved or elevated to management.  Research transactions efficiently and provide all details associated with the account to management when issues arise.
  8. Corrects issues and errors discovered during the quality control review process. Quality reviews may be completed by a number of individuals involved in the sales process.  Reviews occur after data entry is completed and prior to commencement of lease. 
  9. Elevates problems and associated issues to management as needed. Discuss recurring errors or issues with leases presented for booking. Suggest or recommend process changes or enhancements to improve accuracy and completeness of data received.  Continually look for opportunities to improve process and data entry efficiency.  
  10. Provides backup for processing lease funding checks and expense check requests.
  11. Performs other duties as assigned.

Qualifications

Education/Experience Requirements

  • Associate’s degree in a related field or an equivalent combination of training and experience.
  • One year related vehicle leasing administrative experience

Preferred Requirements

  • Strong working knowledge of online storage systems to be able to research and retrieve data
  • Some knowledge of end of day account balancing and reconciliation activities
  • Excellent verbal, written, and interpersonal communication skills
  • Team player able to work effectively in a team fostered, multi-tasking environment
  • Organized, efficient and detail oriented self-starter
  • Strong Microsoft office skills (e.g. Word, Excel)
