Work Arrangement: 

***This is a hybrid work environment, working 3 days onsite in our Wilmington, DE offices.***

 

As a member of the Marketing department, the Event and Production Coordinator will join a results-oriented and fast paced team with responsibilities ranging across multiple aspects of the business. The Event and Production Coordinator will provide project support to marketing initiatives as they relate to events including (but not limited to) printed collateral, email campaigns and ad placements, gathering specs for artwork design, resource coordination, vendor relationships, deadline & payment tracking, and more. This position will be an integral part of the marketing team to reach targets from brand awareness and product promotion to lead generation and analysis.

Responsibilities

  1. Formalize, update, and maintain the event’s planning function and standard operating procedure.
  2. Work with internal event sponsor to document and distribute event specifications (e.g., objective, budget, attendees, etc.).
  3. Manage the entire event life cycle of assigned events, from start to finish.
  4. Anticipate project needs, discern work priorities, and meet deadlines in fluid work environments.
  5. Reports and tracks all event finances and ensures all invoices are paid on time.  
  6. Utilize internal communications tools to include and inform event stakeholders.
  7. Conduct site visits and provide other resources to help staff make informed event decisions.
  8. Work with IT and other applicable teams to ensure technical support specifications are outlined and met.
  9. Ensure event communications are timed and released effectively.
  10. Proactively work with colleagues to ensure that all internal and external communications surrounding the event are in place.
  11. Properly manages all print collateral and premium item inventory.
  12. Assists Production Manager with shipping logistics and other routine tasks.
  13. Coordinates with external vendors to ensure timely and error-free deliveries.
  14.  Manages logistics for smaller events.
  15. Responsible for managing RSVP lists.
  16. Manages internal conference calendar and intake for all Cherwell conference requests.
  17. Manage on-site production and clean up for events, as necessary.
  18. Gather and deliver post-event metrics to event sponsor.
  19. Perform other duties as assigned.

Qualifications

Education/Experience Requirements

  • Bachelor’s Degree: Marketing or related field preferred
  • 3-5 years’ event planning experience within a company, convention center, hospitality/hotel, or equivalent firm (event planning firm, etc.).

Preferred Requirements

  • Proficient in Microsoft Office suite (e.g., Excel, PowerPoint, Word, Outlook).
  • Possesses a strong work ethic with the ability to be flexible in an evolving professional work environment.
  • Stellar project management skills including tracking progress and negotiating deadlines with both internal and external parties.
  • Fantastic customer service ethic
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to accomplish projects with little supervision.
